Job description: Judicial Appointments Commission – EO Project Coordinator – Executive Officer

The role

We are looking for a Project Coordinator (EO) to join the Targeted Outreach and Research team. This team has responsibility for three pilot projects, aimed at improving judicial diversity within the Judicial Appointments Commission, Targeted Outreach and Research Team – Judicial Appointments Commission. The Project Coordinator will support the Project Delivery Managers (HEOs) and coordinate support across all three the project strands, working at pace to manage a wide range of tasks that are often  complex and sensitive.

You will work closely with colleagues across the organisation, as well as external partners, to plan, manage and adapt your project coordination skills to support the JAC’s strategic aims, demonstrating confidence with responding to queries with a high-quality customer service focus. As the JAC has a statutory duty to select judicial candidates based on merit, whilst supporting the creation of a more diverse judiciary that reflects the society it serves, these will be key focusses of your project work.

You will support the Project Delivery Managers and their strands of work, acting as a point of contact for all communications to the team across all three project strands. You will correspond with relevant stakeholders, carrying out tasks involving the progression, monitoring and analysis of each pilot project. You will help deliver key objectives to both external and internal stakeholders, organising, producing and maintaining accurate records for each area of work. You should relish the challenge of working in a small but dynamic team, collaborating with colleagues who are passionate about the JAC’s mission and be willing to get involved in policy and diversity work outside the standard role remit in order to support the wider team, including high priority projects and publications for the Diversity and Engagement team. 

About the JAC

The JAC is an independent body that selects candidates for judicial office in courts and tribunals in England and Wales, and for some tribunals with UK-wide jurisdiction. The JAC was set up in 2006 to maintain and strengthen judicial independence and to make the appointments process clearer and more accountable. Now in its 16th year, the JAC is recognised for its open, independent and merit-based selection of members of the judiciary. What you’ll be doing

Reporting to a Project Delivery Manager, your main responsibilities will be:

Daily Responsibilities

  • Provide a high-quality customer service function, responding quickly to requests from internal and external stakeholders for assistance.
  • Monitor the team inbox, escalating queries/ requests to the relevant Project Delivery manager as necessary.
  • Correspond with relevant stakeholders and agencies to ensure they are aware of key updates.
  • Maintain a secure, digital platform on Google Drive and keep Google Documents/ cross- team Trello board/online workspaces updated with latest exercises and actions taken.
  • Manage diary work and ensure action points flow into the forward planner, in line with the Programme.
  • Assist with the timely distribution of agendas, papers and meeting invites for key stakeholders.
  • Create and update events for the team calender, take minutes and undertake other administrative tasks as required.
  • Provide administrative support to the Head of Targeted Outreach and Research, undertaking ad-hoc tasks as required.

Monthly Responsibilities:

  • Send out monthly updates to key stakeholders.
  • Support Project Delivery Managers in backfilling data for analysis, manual inputting and statistical reporting across all three project strands.
  • Update JAC reporting tables, collate and coordinate data for external stakeholders.
  • Coordinate training to help the delivery of workshops, drop-in sessions and presentations for Project Delivery Managers.

General:

  • Support effective communications with key stakeholders.
  • Support presentations, update materials, take notes and actions, coordinate calendars.
  • Support project management, update logs and risk registers, track deliverables, flag issues.
  • Support outreach coordination and delivery, liaising with internal stakeholders and colleagues.

Expected skills and strengths

It is expected the successful applicant will have:

  • excellent written and verbal communication skills with strong attention to detail
  • excellent interpersonal skills and ability to build good working relationships with internal and external stakeholders
  • strong IT and digital skills
  • strong team working skills and ability to work flexibly to support a small team
  • experience of supporting and contributing towards project delivery

Those applicants invited for interview will also be asked to complete a practical written exercise that reflects the work you might encounter in the role.

The JAC adopts a hybrid approach to working (where staff will be required to work in the JAC’s office where it meets the business need while also being able to work flexibly, generally at home. Successful applicants should therefore have to the ability and resources to work remotely.
